The Brooklyn Museum seeks a detail-oriented and friendly individual to join the Visitor Experience and Engagement team as a departmental associate responsible for supporting group tours and sales as well as providing general administrative support for the department.
Requirements:
Motivated, enthusiastic person who takes initiative, can work independently, and can carry projects through to completion
Strong communication and writing skills; a pleasant and effective telephone and personal manner; and excellent customer service and relationship-building skills
Strong organizational skills and an ability to adapt to new tasks as needed
Minimum of one year of satisfactory, paid clerical experience, preferably in a museum environment
Proficiency with Microsoft Office suite, Zoom or other video conferencing platforms, and Ticketure or similar ticketing software; ability to learn new software as required
Ability to get along well with people is critical
Responsibilities:
Input all reservations into the ticketing system, submit logistics reports for groups with multiple-part reservations, contact groups for payment, reconcile guided tours with the Museum Guide schedule, and make adjustments to existing reservations as necessary
Support the paid group tours team by helping to schedule group tour appointments; produce and distribute confirmation letters, invoices, and weekly schedules; answer all inquiries regarding group visits; and maintain accurate group attendance and admission statistics
Maintain a good working relationship with the Museum’s contractual Guides; liaise with the Education department on behalf of the Visitor Experience and Engagement team to coordinate paid group tours and free public tours
Support virtual tours and experiences in an administrative, logistical, and basic troubleshooting capacity, both for Visitor Experience and Engagement and for other departments that run virtual tours
Work closely with the Manager of Visitor Engagement to expand and execute virtual and in-person tour offerings
In partnership with the Operations Manager, support tourism efforts through admissions reporting; occasionally assist the Director of Marketing and Tourism to develop partner listings by inputting provided content into the various tourism platforms
Work at the Admissions Desk one to two days per week to check in groups, provide information to visitors, and handle admissions transactions
General office support duties such as copying, faxing, and ordering office supplies
Complete and submit expense reports; ensure timely reporting and compliance with the policies of the Museum, including the Finance department; and create, track, and report on purchase orders, invoices, and payments for the department
